2. Information We Collect & Why
We only collect minimal data necessary to facilitate high-quality interactions, coordinate retreats, and maintain communication.
- Discovery Call Form: When booking a call, you provide your name, email address, preferred messenger/phone number, and answers to initial scheduling questions. We use this strictly to contact you and prepare for your consultation.
- Newsletter Form: If you subscribe to our monthly letters, we collect your email address. You can unsubscribe at any instant via the button in the emails.
- Analytical Logs: We collect non-identifiable user behavior metrics (with explicit consent) via Google Analytics and Microsoft Clarity to optimize our interface flow.
3. Cookie Usage and Technologies
We use cookies to operate our web platform securely. Under GDPR, you have the absolute right to consent to optional cookies or reject them.
- Necessary Cookies: These are essential for core site functions, such as security, managing cookies, and coordinating scheduling integrations.
- Analytics Cookies: Enabled only if you choose “Accept All” or turn on Analytics in Settings. We use Google Analytics and Microsoft Clarity to analyze page usage anonymously. No personal identity is linked to these cookies.
- Functional & Media Cookies: Used to maintain functional preferences (e.g., video player states) and display embedded social posts cleanly.
You can change or withdraw your consent at any time by clicking in the website footer.
4. Legal Ground for Processing
We process your data based on these legal bases under GDPR Article 6:
- Consent: For newsletters and optional analytical tracking.
- Contract Execution / Pre-Contractual: To book, coordinate, and fulfill discovery calls or retreat registrations that you initiate.
- Legitimate Interests: To protect our website security, prevent spam, and maintain technical operational integrity.
5. Your Statutory Rights (GDPR)
Under the GDPR, you have comprehensive rights regarding your personal data. These include:
- Right of Access: You can ask for a copy of all personal data we hold about you.
- Right of Rectification: You can request immediate corrections of inaccurate or incomplete details.
- Right to Erasure (“Right to be Forgotten”): You can request complete deletion of your data from our database.
- Right to Restrict or Object: You can object to data processing or request suspension of data handling.
- Right to Withdraw Consent: You can revoke consent for newsletters or analytics at any moment.
To exercise any of these rights, please email us directly. We will fulfill your request free of charge within 30 days. You also have the right to lodge a formal complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) if you believe we are mishandling your information.
6. Data Security & Storage Period
All information processed by Miro Kloosterman remains strictly confidential. We protect your data using industry-standard transport encryption (SSL/TLS). We store contact details only for as long as needed to fulfill our service coordination, or until you request deletion.
7. Third-Party Data Processors (Subprocessors)
To run our website and deliver our services, we partner with specialized service providers who process data on our behalf as subprocessors under GDPR Article 28. These processors are contractually bound to treat your data with the highest level of confidentiality and security:
- Web3Forms: We use Web3Forms to securely receive contact and discovery form submissions. Web3Forms acts as an intermediary, forwarding your inquiries directly to our secure email server. They do not store form submission content on their database permanently and operate in full compliance with the GDPR.
- Kit (formerly ConvertKit): If you opt-in to receive our newsletters or email updates, your email address is transferred to and processed securely by Kit. Kit hosts and manages subscriber data securely, provides straightforward unsubscribe mechanisms, and maintains high compliance and data security standards under GDPR.
- Google Analytics: Implemented with strict IP anonymization, this tracking service measures aggregated usage behavior without linking actions back to real-world identities or individuals.
- Microsoft Clarity: This system helps us understand how visitors interact with the pages, utilizing pseudonymized heatmaps and anonymized session patterns to optimize website usability.
- YouTube (Google Ireland Limited): We embed videos from YouTube on our website. When you play these videos, YouTube sets cookies and processes technical information (such as your IP address and device details) to play the video, prevent fraud, and measure metrics. We use YouTube's privacy-enhanced mode ("youtube-nocookie.com") where possible to limit data tracking until you actively play the media.
